What is an AI receptionist?

Published by the Real Human Feedback team

An AI receptionist is software that answers a business's phone calls with a synthetic voice and holds a conversation with the caller. It listens, works out what the caller wants, and responds: answering questions, booking appointments, taking messages or transferring the call to a person.

Unlike an old phone menu, the caller does not press buttons. They talk, and the AI talks back.

How an AI receptionist works

Most AI receptionists combine three pieces: speech recognition turns the caller's words into text, a language model decides what to say, and a synthetic voice speaks the reply. The business gives the system its hours, services, policies and booking rules, and connects it to a calendar or CRM.

Every reply takes a moment to produce, which is why pauses and talk-over are among the things worth testing.

What it typically handles

  • Answering calls around the clock, including after hours
  • Questions about hours, services, locations and pricing
  • Booking, rescheduling and cancelling appointments
  • Qualifying leads and taking intake details
  • Taking messages and sending summaries to the business
  • Transferring calls to a person

Turnkey products and voice AI platforms

There are two broad ways to get one. Turnkey AI receptionist products are ready to set up by the business itself. Voice AI platforms are builder tools; a business usually gets a receptionist on one through an agency, or builds its own. The benchmark profiles both kinds.

How AI receptionists are priced

Published pricing varies widely: some products charge a flat monthly fee, others meter minutes, calls, conversations or interactions, and platforms usually charge per minute. A few offer a free tier. Our AI receptionist pricing table lists what each vendor publishes, with the date we checked.

How it differs from an answering service

A traditional answering service uses live people to answer calls. An AI receptionist uses software. Some companies sell both. Our guide to AI receptionists vs answering services covers the differences in detail.

Where AI receptionists struggle

The common trouble spots are questions the AI was never given an answer to, urgent calls, handoffs to a person, messy real world speech and the accuracy of what reaches the business afterward. We cover each in common AI receptionist failures.

The best way to know how yours performs is to hear it the way customers do. That is what Real Human Feedback does: real people call the AI receptionist you already have and report exactly what they heard.

Questions

Quick answers to what readers ask next.

Is an AI receptionist the same as a virtual receptionist?

Not always. "Virtual receptionist" is often used for a remote human receptionist service, and sometimes for an AI one. Ask a vendor directly whether a person or software answers your calls.

Can an AI receptionist replace a human receptionist?

It depends on the calls your business gets. Our guide to AI receptionists vs human receptionists covers where each tends to fit.
